NHSBSA Manage Your Service (MYS) portal

This page explains how pharmacy owners and their teams can register for and use the NHS Business Services Authority (NHSBSA) Manage Your Service (MYS) portal. MYS is used to manage pharmacy-related services and information securely.

To use MYS, pharmacy owners must register the individuals they want to access the portal for their pharmacy. This is done using the MYS access authorisation form on the NHSBSA website.

Only the business owner, a director, or someone already verified through the NHSBSA Information Services Portal (ISP) registration process can register a pharmacy and approve access. Pharmacies that are part of a multiple should follow guidance from their head office.

Q. Do individuals need a personal NHS.net Connect account to register for MYS?
Yes. Individuals must have a personal NHS.net Connect account because MYS uses the nhs.net directory to verify users and passwords. You can find guidance on setting up an account at cpe.org.uk/nhsnet.
Q. What information is needed to complete the authorisation form?
Pharmacy owners need to decide which team members should access MYS, their personal nhs.net email addresses, and the pharmacy ODS code. Owners must also decide whether those individuals should receive management information.
Q. Why must the authorisation form be printed and signed?
MYS gives access to business-sensitive information and, in some cases, patient-identifiable data. NHSBSA requires a handwritten signature to meet audit and assurance requirements.
Q. I cannot scan documents in the pharmacy. How else can I return the form?
NHSBSA will accept a clear photograph of the signed form taken on a smartphone and emailed to mys@nhsbsa.nhs.uk. Pharmacy owners can also post the form to:
MYS Registrations, 2nd Floor, Bridge House, 152 Pilgrim Street, Newcastle upon Tyne, NE1 6SN.
Faxed forms are not accepted.
Q. Does the form need to be typed, or can it be handwritten?
Typing the form is preferred to avoid delays caused by unclear handwriting. If this is not possible, the form can be handwritten using block capital letters.
Q. Does the contact email address on the form have to be an nhs.net account?
No.
Q. Can information be submitted for multiple pharmacies at once?
Yes. Pharmacy owners can complete the first page of the authorisation form and email it with a spreadsheet or document listing all pharmacies to mys@nhsbsa.nhs.uk. The document must include staff names, personal nhs.net email addresses, pharmacy ODS codes, and whether management information access is required.

Q. What does management level access allow someone to do?
Management level access allows individuals to view limited financial information. They can also add or remove users and assign management access to others. Pharmacy owners are advised to give at least one trusted person management level access to help manage staff changes.
Q. Can head office staff access MYS for a pharmacy?
Yes, provided they have a personal nhs.net account.
Q. Can one person access MYS for more than one pharmacy?
Yes. The authorisation form must list the ODS code for each pharmacy. Where a YP code applies, this can be used instead.
Q. Is there a limit on how many people can access MYS?
No. There is no maximum number, but each person must have their own nhs.net account.
Q. Is two-factor authentication still required?
No.
Q. Does an individual nhs.net account need to be linked to the pharmacy shared account?
No. However, pharmacies must still meet nhs.net requirements, including having two live personal nhs.net accounts linked to the shared account.
Q. What happens once the form is submitted?
NHSBSA creates accounts for each approved individual. An email is sent to their personal nhs.net account within 48 hours with access details.
If you do not receive an email within five days of emailing the form, or 10 days of posting it, contact the NHSBSA MYS team (mys@nhsbsa.nhs.uk).
Q. I have forgotten my MYS username. What do I do?
Your username is your personal nhs.net email address.
Q. I have forgotten my MYS password. How do I reset it?
Your MYS password is the same as your nhs.net password. Guidance on resetting this is available at cpe.org.uk/nhsmail.
Q. How do I access MYS?
Once registered, go to the NHSBSA website and sign in using your personal nhs.net email address and password.
Q. Can I access MYS using my Smartcard?
No.
Q. What happens to MYS access during a change of pharmacy ownership?
Incoming and outgoing pharmacy owners should plan the transition together and contact mys@nhsbsa.nhs.uk if needed. Include details of the owners, expected change date, and ODS codes. The steps required depend on the circumstances.
Q. How do I add or remove management level access later?
Someone who already has management access can make these changes. Guidance is available in the NHSBSA Manage Your Service Registration and Log-in Guide.
Q. How do I add or remove general access for staff?
Individuals with management level access can add or remove users. Changes are usually made within 48 hours. If this takes longer than five working days, email mys@nhsbsa.nhs.uk.
Q. Can multiple staff changes be submitted at once for a multiple pharmacy?
Yes. A spreadsheet or document can be emailed to mys@nhsbsa.nhs.uk listing all relevant pharmacies, staff, ODS codes, and whether access is being added or removed.
Q. A staff member is moving between pharmacies within the same company. What should we do?
Someone with management level access can remove access from the old pharmacy and add it to the new one. If no one has access to both, management access holders at each pharmacy can complete their part separately.
