MenB vac update: vaccine allocation and ordering

Community Pharmacy England has been working urgently with NHS England to improve Meningococcal B (MenB) vaccine allocation and ordering ahead of the service launch next week.

Further to our earlier news story regarding vaccine allocation and ordering, we have been in regular dialogue with NHS England seeking to ensure that the initial ordering and allocation process works as smoothly as possible for pharmacy owners and raising concerns about how pharmacy owners can balance stock availability with the requirement to provide 100 appointments per month.

NHS England have sought to set up their delivery network at pace to meet the requirements of the service and to control stock allocations due to the vaccine costs and cohort size, but they have recognised the need for greater flexibility in their approach to meet the sector’s ambitions and needs.

Community Pharmacy England has raised the unreasonable additional workload that the current stock allocation and ordering systems, combined with the appointments requirements, are putting on pharmacy owners. We are also concerned about reputational issues where people with appointments cannot be vaccinated due to stock availability.

NHS England is seeking to help monitor and address both issues, and we believe the measures being announced today will help.

Actions NHS England is taking

In response to our representations NHS England is now making several changes to support pharmacies.

These include:

  • Increasing vaccine allocations to better align with current patient bookings and allow some extra capacity for walk-in appointments.
  • Reviewing bookings daily and updating pharmacy allocations accordingly.
  • Working through their regional teams to identify and escalate cases which could result in booked appointments exceeding available vaccine stock.
  • Contacting pharmacies that have upcoming bookings but have not yet placed a vaccine order.
  • Supporting pharmacies that have registered but are not yet live.
  • Sending reminders about balancing vaccine orders with appointment availability.
  • Managing NHS website messaging to reduce the risk of bookings from ineligible patients and to set expectations around walk-in availability.

Stock ordering and delivery processes will also improve early in August when NHS England’s new vaccinations wholesaler arrangement comes online.

NHS England have provided reassurance that they will be monitoring the situation on an ongoing basis. They have said that at the moment, the number of available appointments in pharmacies far exceeds those that will be needed to vaccinate the full cohort.

Key actions for pharmacy owners

To receive vaccine allocations via the Federated Data platform (FDP) and to maximise service provision pharmacies must:

  • Be registered to provide the service by 11.59pm on 20th July 2026, noting that it will take 5 to 10 days to be setup. Please refer to your original confirmation email for instructions on accessing the required systems.
  • Publish at least 100* appointments per month via Manage your Appointments (MYA) spread across your full opening hours, including late afternoons and Saturdays.
  • Register and complete your site acknowledgement page on the FDP. Full details are available in the supply and ordering guidance (log-in required).

Important note – the minimum of 100 appointments stated above is per month. As the service goes live on 20th July, pharmacies are not expected to offer 100 appointments during the 12 operational days during July. We advise pharmacy owners to offer appointments in line with their vaccination allocation.

Pharmacy owners should also:

  • Review their allocation showing on the FDP Supply Dashboard. The pharmacy must have an allocation before an order can be placed.
  • Place an order on FDP before your order cut-off deadline having reviewed if you have bookings on MYA.
  • Confirm their assigned delivery day and check for the expected delivery time which will be available one working day before your assigned delivery day.
  • Ensure that their MYA booked appointments are scheduled for dates after their confirmed vaccine delivery. Review your available appointments against your expected delivery date and plan your bookings around your fixed delivery day and vaccine supply.

Managing your appointment capacity

NHS England is encouraging pharmacy owners to manage their vaccination capacity and appointment availability in line with their vaccine orders and scheduled delivery days, ensuring that published appointments on MYA reflect when the pharmacy will have vaccine in stock.

If your pharmacy currently has booked appointments listed before your expected delivery date, please review and adjust your booking capacity as soon as possible.

If you have not yet placed your vaccine stock order and have pending booked appointments, please place your vaccine order before the cut-off point to reduce the risk of having to cancel or rebook appointments.

Updated service specification

Following the publication of an updated bipartite letter regarding the service last week, NHS England have had to make a few adjustments to the existing service specification to ensure alignment.
